Roles & Permissions
Role Hierarchy
Basalt PMS uses a hierarchical system of four roles. The role level determines what permissions a member has and who they can manage.
| Role | Level | Description |
|---|---|---|
| Owner | 100 | Studio creator. Full control: company deletion, ownership transfer, managing all members and settings. One per company. |
| Admin | 100 | Full access equal to Owner, except company deletion and ownership transfer. Can manage managers and editors. |
| Manager | 50 | Operational team lead. Can manage projects, tasks, invitations, and editor staffing without access to company ownership or finances. |
| Editor | 10 | Limited access: only assigned projects, file uploads to renders folder, and own tasks. |
Management rule: a member can only assign and change roles of those whose level is strictly below their own. Owner and Admin (both level 100) cannot change each other's roles — only managers and editors.
Permission Matrix
Each role has a fixed set of permissions. Permissions are enforced both in the UI and on the server — users cannot see features they don't have access to.
| Area | Owner | Admin | Manager | Editor |
|---|---|---|---|---|
| Company management | ✓ | ✓ | Read only | Read only |
| Company deletion | ✓ | — | — | — |
| Projects (CRUD) | ✓ | ✓ | ✓ | Read assigned only |
| Tasks | All | All | All + assign to editors | Own: create, change status |
| Files | All | All | Upload, read, delete | Read + upload renders |
| Finances | ✓ | ✓ | — | — |
| Team members | Full | Full | Create, edit, remove editors | Read only |
| Invitations | ✓ | ✓ | Create, view, revoke | — |
| Company settings | Full | Full | Read only | Read only |
| Backups | ✓ | ✓ | — | — |
| Notes | All | All | All + share | Own only |
| Workspaces | All | All | Read only | Read only |
Custom Permissions
In addition to base roles, an admin or owner can configure custom permissions for a specific member. This allows expanding or restricting access on top of the standard role.
For example, you can revoke finance access for a manager, or allow an editor to upload files to all folders. Custom permissions are applied on top of the base role: first the standard permission set loads, then denied permissions are removed and granted ones are added.
Team Management
Member List
All company members are displayed in Studio → Team. For each member you can see:
- Name and email
- Current role (with a colored badge)
- Join date
Use the search by name or email to quickly find the right member. The list is loaded at app startup and is always up to date.
Changing a Member's Role
To change a member's role:
- Go to Studio → Team
- Click the context menu (three dots) next to the member's name
- Select a new role from the available list
Available roles depend on your own role — you can only assign roles below your level. Owner can assign any role except owner. Admin — manager or editor. Manager — editor only.
Role changes are recorded in the audit log and take effect immediately.
Removing a Member
An owner, admin, or manager can remove a member from the company via the context menu in the team list, as long as the target role is lower than their own. Restrictions:
- The company owner cannot be removed
- You cannot remove yourself (use "Leave company" instead)
- Managers can remove editors only
After removal, the member loses access to all company data.
Ownership Transfer
The owner can transfer ownership rights to another company member. Select "Transfer ownership" in settings. After transfer:
- The new owner gets full control over the company
- The former owner remains as a member (with a role assigned by the new owner)
This operation requires re-authentication for security.
Leave Company
Any member except the owner can leave the company on their own. The owner must first transfer ownership to another member or delete the company.
Invitations
Invite Links
The primary way to add members is through invite links. Create a link in Studio → Invitations.
When creating a link, specify:
- Role — what role the new member will receive (admin, manager, or editor). Owner role cannot be assigned. Admin role can only be assigned by owners.
- Name (optional) — a label for convenience, e.g., "For editing team"
- Usage limit (optional) — maximum number of joins via this link. Without a limit — unlimited.
- Expiration (optional) — from 1 to 365 days. After expiration, the link is automatically deactivated.
Managers, admins, and owners can create invite links. Managers can operate invite links for editor staffing, while higher-role limits still apply.
Managing Links
Each invite link has a status:
- Active — can be used to join
- Inactive — manually deactivated, can be reactivated
- Expired — past its expiration date
- Exhausted — all available uses have been consumed
Available actions for each link: copy URL, download QR code, deactivate/reactivate, or delete. QR codes are convenient for sharing links at meetings or in printed materials.
Joining via Link
When someone follows an invite link, they land on the join page. If they already have a Basalt account — they sign in and immediately join the company. If not — they register first.
Member limits are automatically checked based on the subscription plan. If the limit is reached, joining will be declined.
Email Invitations
An alternative method is to invite a member directly by email. This feature is available only to admins and owners. An invitation valid for 7 days is sent to the specified email.
If the invitee is already registered in Basalt, they'll receive an in-app notification. Otherwise — an email with a registration link.
Editor Workflow
Limited Workspace
Editors see a streamlined interface. They can only access:
- Assigned projects (not all company projects)
- Tasks assigned to them
- File uploads to the renders folder only
- Their own notes
Editors cannot see: team management, company settings, finances, invitations, backups, or other editors (except their profiles).
Editor Profile
In addition to the "Editor" team role, you can create an editor profile — an extended card with additional data:
- Contacts: phone, email, Telegram
- Payment method and rate
- Years of experience
- Status: active, busy, or inactive
Editors can update their own contact information and payment method.
Project Assignment
For an editor to access a project, they must be assigned through the project's Editors section. When assigning, specify:
- Number of videos to edit
- Price per video
The editor receives a notification about the assignment, and the project appears in their dashboard. As they work, the editor can track progress — the number of completed videos.
Plan Limits
Member Limits
The number of included active members depends on the subscription plan:
| Plan | Members |
|---|---|
| Base Camp (free) | Up to 3 |
| Launch | 4 included, additional seats billed |
| Voyager | 8 included, additional seats billed |
| Odyssey | 20 included, additional seats billed |
The free tier blocks joining beyond its limit. On paid plans a studio can add active members as it grows, and additional seats are included in the next invoice.
