Projects
Create, organize, and track video editing projects with three view modes.
Creating Projects
Creation Form
Open the All Projects page and click + New Project. The form includes the following fields:
- Project name — required
- Client — client name (required). If you already have clients, you can select a template from the list — contact details will be filled in automatically
- Telegram — client's Telegram @username (optional)
- Email — client's email address (optional)
- Number of videos — how many video units are included in the project (default: 1)
- Price per video — cost per unit
- Description — notes and project requirements
When both the number of videos and price are filled in, a profit calculation appears below: quantity × price − tax% = net profit.
Deadline & Taxes
Quick settings are located at the bottom of the form:
- Deadline — pick a date from the calendar or use quick presets: Today, Tomorrow, Week (+7 days), Month (+30 days). The deadline can be cleared at any time
- Tax rate — select a preset (Self-employed 4%, Sole Proprietor 6%, LLC VAT 20%, etc.). The client type (individual/company) is determined automatically from the tax preset
Assigning Editors
You can assign editors right when creating a project. Click + Editor at the bottom of the form to add a team member. For each editor, specify:
- Number of videos for this editor
- Rate per video
Multiple editors can be assigned with different rates and volumes. After creation, assignments can be managed from the project page.
Note: editor assignment is not available on personal accounts or for users with the Editor role.
Statuses & Payments
Project Statuses
Every project has one of five statuses:
- New — just created, work not started
- In Progress — active editing or revision stage
- On Hold — temporarily paused
- Completed — all deliverables finished. Setting this status automatically marks the project as complete
- Cancelled — project terminated
The statuses "New" and "In Progress" are considered active — these count toward your subscription plan limits.
Payment Statuses
In addition to project status, payment status is tracked:
- Unpaid — no payment received
- Partially Paid — partial payment received
- Fully Paid — full payment received
Payment status is set during project creation and can be changed manually through the edit form or the project card context menu.
Changing Status
You can change the status in several ways:
- On the project edit page — via status chips
- From the card context menu (right-click on desktop, long press on mobile)
- By dragging a card between columns in kanban mode
Each status change creates an activity feed entry and notifies clients via the Client Portal if it is connected.
Plan Limits
The number of active projects (with "New" or "In Progress" status) is limited by your subscription plan. If you try to create a project or move a project to active status beyond the limit, the system will show a warning with the current and maximum count. Completed, paused, and cancelled projects do not count toward the limit.
Views & Filters
View Modes
The projects page supports three view modes:
- Grid — project cards in a responsive grid (1 column on mobile, 2 on tablet, 3 on desktop)
- List — compact cards in a single column
- Kanban — board with status columns, supporting drag-and-drop
The selected mode is saved between sessions.
Kanban Board
In kanban mode, projects are arranged in five columns: New, In Progress, On Hold, Completed, Cancelled. Drag a card to another column to instantly change the project's status. The change is applied optimistically — the card moves immediately while the status updates on the server. If an error occurs, the card returns to its original position.
Drag-and-drop is only available to users with status change permissions (owner, admin, manager).
Tabs & Filters
Above the project list are three tabs: Active (default), Completed, and All. Additional filters include:
- Search — by name, client, and description
- Payment status — Unpaid / Partially Paid / Fully Paid
- Deadline — Overdue, Today, This Week, This Month, or a custom date range
- Budget — amount range (min/max)
- Editors — with editors / without editors / specific editor
- Client — filter by client name
Sorting: by deadline (default), name, budget, or creation date — ascending or descending.
Quick presets — one-click filters: "Overdue", "Unpaid", "Deadline This Week", "No Editors". You can also save your own named presets. All filter settings persist between sessions.
Statistics
A statistics bar is displayed at the top of the page:
- Total Projects — total count
- In Progress — projects with "New" and "In Progress" status
- Completed — projects with "Completed" status
- Total Budget — sum across all projects (quantity × price per video)
- Overdue — incomplete projects past their deadline (only shown when applicable)
Project Details
Project Page
Open a project to see all data in one place: status, deadline, finances, assigned editors, tasks, and files. Edit any field — name, client, contacts, finances, description, statuses, and deadline. The save button is only active when there are changes.
Activity Feed
The Activity tab shows a complete timeline of project events with infinite scrolling. 15 event types are tracked:
- Project — creation, update, status change, deletion
- Editors — assignment and removal of editors
- Files — video and file uploads, version publishing and rejection, comments
- Tasks — creation, completion, and assignment of tasks
- Payment — payment status changes
Each entry includes an event icon, author avatar, action description, and relative timestamp. The feed can be filtered by event groups using the dropdown menu.
Context Menu
Right-click on a project card (or long press on mobile) to open a quick actions menu:
- Open project / Video library
- Assign editor
- Edit / Backups
- Change status — choose from all available statuses
- Payment status — quickly change payment status
- Change deadline — calendar with presets: Today, Tomorrow, End of Week, End of Month
- Delete project
Available items depend on your role and permissions.
Editor Access
Users with the Editor role can only see projects assigned to them. In their view, client contact details, financial information, and other editors' assignments are hidden. Instead, they see their own assignment data — number of videos, rate, and completion progress.
Creating, editing, and deleting projects is only available to owners, admins, and managers.
